What is SuiteCRM?
SuiteCRM is an open-source Customer Relationship Management application written in PHP, originally forked from SugarCRM Community Edition in 2013 by SalesAgility, a Scottish consultancy. It is licensed under the AGPL v3 and aimed at organisations who want a self-hosted alternative to Salesforce, HubSpot, or Microsoft Dynamics.
The application covers the standard CRM modules: leads, accounts, contacts, opportunities, quotes, cases, calls, meetings, and tasks. Workflow automation, custom modules through Studio, and a reporting engine are part of the core, not paid add-ons. Email campaigns, customer portals, and project tracking ship in the box.
SuiteCRM runs on a standard LAMP or LEMP stack with PHP 8.1 or higher and MySQL or MariaDB. The codebase is fully open and integrates with most UK email providers, telephony systems, and accounting tools through community modules or the REST API.
365i’s editorial review of SuiteCRM
SuiteCRM is the CRM I recommend to people who have looked at their first Salesforce quote and gone slightly pale. It is the open-source descendant of SugarCRM, maintained by SalesAgility up in Scotland, and it does the things a sales team actually needs without the per-seat subscription that scales with your headcount.
Who tends to pick it: small and medium B2B sales teams, professional services firms, consultancies, and the occasional charity or membership organisation. People who already know what a CRM is, want their data on their own server, and are not interested in renting their customer database from someone else. We host it for accountancy practices, training providers, and a few engineering firms whose clients are sensitive about where their contact details live.
"SuiteCRM gives a small B2B sales team a real CRM for the cost of a hosting plan. The UI feels its age, but the data model and workflow engine are stronger than people expect."
Mark McNeece, Founder, 365i Hosting
What works well: the data model is properly thought through. Leads, accounts, contacts, opportunities, and cases all link the way you want them to, and Studio lets you add custom fields or whole new modules without writing code. Workflows are genuinely useful for chasing quotes or assigning new leads to a rep. The reporting engine is older than I would like but it gets the job done, and the email module integrates with any standard SMTP server.
What's annoying: the UI feels its age. If your team is used to HubSpot's slick interface, SuiteCRM's screens will look spartan, and there is more clicking around than a modern SaaS CRM would ask of you. The default theme has improved in recent releases but it still does not win design awards. The mobile experience is functional rather than delightful. The community marketplace exists but is nothing like the polished extension stores you see on WordPress or Shopify.
Hosting-stack notes from running it on our platform: SuiteCRM is happiest with PHP memory at 512 MB, MySQL given enough innodb_buffer_pool to keep the working set in RAM, and a properly configured cron running every minute for workflows and inbound email. The default install does not enable the cron, which catches people out. We turn it on as part of a 365i install and document it for your team.
If you want a real CRM you can own outright, do not mind a slightly dated interface, and have someone willing to spend half a day setting it up properly, SuiteCRM is hard to beat at the price. If your sales team will refuse to use anything that does not look like the latest SaaS, pick a tool that fits their habits. A pretty CRM that gets used beats a powerful one that does not.

Where SuiteCRM Fits
Best for
Small to medium B2B sales teams, professional services firms, and consultancies who want a self-hosted CRM and prefer to own their data outright rather than renting a Salesforce or HubSpot subscription. Particularly strong for organisations with custom sales processes that benefit from Studio module customisation and workflow automation. Runs comfortably on our standard web hosting plan with PHP memory raised to 512 MB and the system cron enabled.
Watch for
The interface feels older than HubSpot or modern Pipedrive and adoption can stall if your sales team will only tolerate slick SaaS UIs. The mobile experience is functional but not elegant, so heavy field-sales use cases may struggle. Plan for half a day of initial configuration: cron, SMTP, user roles, and a custom field pass before you load real data, otherwise the platform feels half-finished out of the box.

A SuiteCRM case from our books
A south-coast professional services firm with around 22 fee-earners and roughly 1,400 active client records came to us two years ago wanting to escape a per-user CRM subscription that had crept past £700 a month. They were already running SuiteCRM on a host that kept timing out their email-to-case automations. We moved them to our standard web hosting plan, raised PHP memory to 512 MB, configured the system cron correctly so workflows actually fired, and tuned MySQL for their working dataset. Inbound email-to-case latency dropped from inconsistent (sometimes ten minutes, sometimes never) to under sixty seconds end to end. Their CRM bill went from £700-odd a month to roughly £15 a month in hosting plus a one-off SalesAgility support contract for application work.
What we would tell anyone in the same spot: SuiteCRM rewards a few hours of proper setup and punishes shortcuts. Get the cron right, get SMTP right, and get user roles right before you import a single contact.
Anonymised at the client's request. Industry, scale, and timeline preserved.
What we look for in crm hosting
CRM hosting comes down to two things people underestimate: cron reliability and outbound email deliverability. Workflows fire on cron, email-to-case automations live or die by the same loop, and a CRM with broken cron is a CRM that quietly loses leads. We run a one-minute cron on every plan and we set up outbound SMTP properly with SPF, DKIM, and DMARC during install. PHP memory at 512MB by default because Studio customisations and report queries push it.

SuiteCRM Hosting FAQ
Common questions we hear from people running SuiteCRM on our hosting.
SuiteCRM 8 needs PHP 8.1 or higher, MySQL 5.7 or MariaDB 10.3 or higher, and the standard PHP extensions for cURL, GD, IMAP, JSON, MBString, MySQLi, OpenSSL, XML, and Zip. It also needs a properly configured system cron running every minute for workflows and inbound email. Our web hosting plans ship with PHP 8.5 and the right extensions enabled, and we configure the cron as part of the install.
SuiteCRM is a one-click install on our web hosting plans. From the My365i control panel, open Software Installer, search for SuiteCRM, choose the domain, and click Install. The installer creates the database, drops the files into place, and walks you through admin user setup. Once the core is installed, we enable the cron, configure outbound SMTP, and you can start adding users, modules, and your first leads.
For most small and medium B2B teams, yes, comfortably. Our standard web hosting plan handles SuiteCRM installations with up to roughly 50 users and 100,000 records without issue. If you are running larger volumes, processing heavy email campaigns, or doing a lot of API integration work, a small managed cloud server gives you dedicated resources and predictable performance. Tell us your user count and record volume and we will recommend the right tier.
Our support covers the hosting platform fully: PHP and MySQL configuration, cron setup, SMTP, SSL, backups, and migrations. For SuiteCRM application work (custom modules in Studio, complex workflow design, theme development) we will help where we can but we are not your CRM consultant. SalesAgility, the company behind SuiteCRM, offers paid support contracts for application-level work, and we are happy to make the introduction.
Yes, free of charge on any of our hosting plans. We move the SuiteCRM files, the database, the upload directory, and any custom modules. Most migrations finish within a working day with no downtime. We run the new install on a staging URL first so you can confirm workflows fire correctly, inbound email is reaching the right modules, and your custom field set is intact before we switch DNS.
SuiteCRM is widely used by organisations under GDPR including UK accountancy and legal firms, and it has the controls you need. Role-based access, field-level security, audit logs, and password policies are part of the core. On the hosting side we provide free SSL, daily backups, brute-force protection on the admin login, and modern PHP versions with security patches. Keeping the SuiteCRM core and any custom modules up to date is the single most important thing you can do.
SuiteCRM is self-hosted and free, where Salesforce and HubSpot are SaaS and per-user. The data model is comparable to Salesforce Classic. The UI feels older than modern HubSpot. Workflow automation is solid but not as polished as either competitor. The honest summary: if you have a defined sales process and a team that will adapt to a slightly dated interface, SuiteCRM saves you a meaningful subscription bill. If you need a polished UI your team will love at first sight, pay for HubSpot instead.
