About Vtiger

What is Vtiger?

vtiger CRM is an open-source customer relationship management system that started as a fork of SugarCRM in 2004 and has grown into a substantial CRM platform with sales pipeline management, contact and account records, helpdesk tickets, inventory and quotes, project management, email integration, and reporting.

The open-source self-hosted edition is genuinely featureful. It covers the core CRM workflow most small and mid-sized businesses need: leads converting to opportunities, opportunities tracked through stages, accounts with multiple contacts, related quotes and invoices, support tickets linked to customer records, and a calendar with task assignments. It also has a workflow engine for automation and a REST API for integrations.

Technically vtiger runs on PHP and MySQL, supports PHP 8.3 in recent releases, and is happy on shared hosting for small teams. Larger installations (50+ active users, large datasets, heavy automation) typically move to a cloud server. There's also a paid SaaS version of vtiger which is a separate product, but here we're talking about the self-hosted open-source edition you install yourself.

vtiger sits in the same conceptual space as SuiteCRM, EspoCRM, and a couple of other open-source CRM platforms. The differences between them at a high level are smaller than the marketing makes out; what matters more is which UX your team will actually use, and which has the integrations you need today.

The case for self-hosting vtiger over a SaaS CRM (HubSpot, Salesforce, Zoho, Pipedrive) is almost always one of two things: per-user cost as the team grows, or data sovereignty. SaaS CRMs charge per seat, and at 20 or 30 active users the monthly bill becomes meaningful. A self-hosted CRM on a £5.99 shared plan or a £9.99 cloud server pays for itself in a week at that scale.

From a hosting perspective vtiger is moderately heavy. The database grows steadily with activity (every email sync, every workflow run, every audit-log entry adds rows), and the PHP memory footprint is higher than something like phpMyFAQ. A small team of 5 to 10 users runs fine on shared hosting. Beyond about 20 active users with regular email syncing and integrations, I'd move to a cloud server because the predictability of dedicated resources matters more than the marginal cost.

The thing I'd flag for anyone considering vtiger is the upgrade discipline. Major version upgrades (vtiger has historically jumped from 6 to 7 to 8) require careful migration steps, and the upgrade path between non-adjacent versions can be awkward. Stay reasonably current. Don't skip three major versions and then try to upgrade in one go.

Email integration is one of the strengths. vtiger can poll IMAP mailboxes, parse incoming email into the CRM, attach replies to the right record, and send through SMTP for outgoing. Configure this carefully to avoid duplicates, but once it's right, sales staff don't need to copy and paste between Outlook and the CRM.

Watch for

Major version upgrades require care; don't skip versions. Email integration can produce duplicates if configured carelessly. The default UI is functional rather than beautiful and feels less polished than HubSpot or Salesforce. The plugin marketplace is smaller than commercial CRMs. Heavy custom workflows can produce database growth that needs occasional pruning. Reporting is good but not as deep as Salesforce.

A Vtiger case from our books

A specialist B2B equipment supplier in the East Midlands moved from HubSpot Sales Hub Professional to self-hosted vtiger in early 2025. They had 18 active users on HubSpot at £85 per user per month, working out to £1,530 a month or just over £18,000 a year. Their use of HubSpot was mostly contact records, deal pipeline, and a bit of email sequencing.

We installed vtiger on a £9.99 cloud server, migrated their contacts and deals via CSV export from HubSpot, set up the IMAP integration against their Microsoft 365 mailboxes, configured the deal pipeline to match their existing stages, and trained the sales team across two half-day sessions. Total project time was about 30 hours including support, and they paid us a one-off migration fee for that work plus the standard hosting subscription.

CRM hosting comes down to two things people underestimate: cron reliability and outbound email deliverability. Workflows fire on cron, email-to-case automations live or die by the same loop, and a CRM with broken cron is a CRM that quietly loses leads. We run a one-minute cron on every plan and we set up outbound SMTP properly with SPF, DKIM, and DMARC during install. PHP memory at 512MB by default because Studio customisations and report queries push it.

The cost difference is small and the responsiveness improvement at peak times is noticeable.

They're both forked descendants of SugarCRM Community Edition and they overlap significantly. vtiger's UI feels slightly more polished out of the box, the inventory and quote modules are stronger, and the workflow engine is similar. SuiteCRM has a larger plugin community and is closer in shape to old-school Salesforce. Most teams choose based on which UI fits better after a trial install. We'll install either for free.

Yes. vtiger supports IMAP polling for incoming mail, can parse and attach emails to the relevant record, and sends outgoing through SMTP. Microsoft 365, Google Workspace, and any standard IMAP/SMTP provider all work. Configure carefully to avoid duplicates, especially if you're also using a separate email client. Our setup engineers have done this dozens of times and we'll get the config right at install.

The platform itself supports the technical features you need (data export, deletion, audit logs, consent records), but compliance is about how you operate it, not just whether the software has the buttons. CSV export from the source CRM, transform the data to vtiger's import format, and use vtiger's import wizard. Contacts, accounts, and deals migrate cleanly. Custom fields need explicit mapping. Email history typically doesn't migrate fully (the source CRM keeps it in proprietary stores), so plan a cutover date and accept some history loss, or budget for a custom migration if email history is critical.

Yes, there's an official vtiger mobile app for iOS and Android that connects to self-hosted instances over the REST API. Sales staff can view contacts, log calls, update deals, and check tasks while on the road. The mobile experience is good for read-and-update workflows but you wouldn't do data entry or complex configuration on it. The web app remains the primary admin interface.
