About Lime Survey

What is Lime Survey?

LimeSurvey is a long-established open-source survey platform written in PHP. It supports more than 30 question types (single-choice, multiple-choice, matrix grids, ranking, file upload, GPS), conditional logic, quotas, multi-language surveys, and integrations with email, LDAP, and SAML. Output formats include CSV, Excel, SPSS, R, and PDF; real-time response monitoring is built in.

The platform powers academic research, market research panels, customer satisfaction programmes, and corporate HR surveys around the world. The codebase has been actively developed since 2003 and has a stable release cadence. There are two distribution channels: the free Community Edition for self-hosting, and a hosted SaaS version called CE/Cloud which is paid.

For self-hosting, LimeSurvey runs on standard PHP hosting with a MySQL, MariaDB, PostgreSQL, or MSSQL backend. The application is feature-dense rather than lightweight, but it doesn\'t require unusual server configuration to run well.

Our take

365i’s editorial review of Lime Survey

LimeSurvey is the survey platform I recommend when somebody needs SurveyMonkey-class capability without the SaaS pricing or the data-residency questions that come with US-hosted survey tools. It\'s mature, the question types are extensive, the logic engine is genuinely powerful, and the data export options are everything an analyst could want.

I\'ve hosted LimeSurvey for academic researchers running multi-thousand-respondent panel surveys, for HR teams running annual employee engagement surveys, and for a couple of public-sector clients where UK data residency was a hard requirement. In every case the workload pattern is the same: bursts of activity when the survey is open, very little load before launch and after closure.

"For UK organisations doing academic research, public-sector consultations, or anything where you need to be able to point at where the data lives, self-hosted LimeSurvey on UK hosting is the cleanest answer. SurveyMonkey is great software but it\'s a US company with US hosting. That\'s not always a good fit."

The technical demands of LimeSurvey are reasonable. PHP 8.3 is supported, MySQL 8 is supported, and the standard set of PHP extensions covers all of it. The application is heavier than something like Kanboard but lighter than a full Laravel monolith. The thing to watch is the response submission window: when a survey closes and a few thousand people all submit in the final hour, you get a noticeable load spike. That\'s less about LimeSurvey and more about the nature of survey traffic.

For most surveys, our shared hosting from £5.99/mo handles it fine. The realistic ceiling on shared is probably 5,000 to 10,000 concurrent respondents, which is way more than most surveys ever see. Where we move people to a managed cloud server is for two scenarios: very large research panels (50,000+ panellists hammering the platform during recruitment week) and organisations with strict isolation requirements where they don\'t want to be on a shared platform regardless of capacity.

The thing I\'d flag for new LimeSurvey users is the admin UI. It\'s not the prettiest piece of software you\'ll ever use; it\'s functional and dense and assumes you know what you\'re doing. Anyone who\'s used SPSS or Stata or any other research tool will feel at home. People expecting Typeform-level polish will be surprised. The response experience for end users is much better than the admin UI suggests, especially with a custom theme.

Data export is where LimeSurvey really earns its keep. CSV, Excel, SPSS native format, R, PDF, and Word are all built in. We have university clients who run their entire research workflow through LimeSurvey: design the instrument, deploy it, collect responses, export to SPSS, run their analysis. The fact that there\'s no SaaS provider sitting in the middle of that pipeline (with their own pricing, their own retention rules, and their own hosting jurisdiction) is genuinely valuable for institutional research.

For GDPR, hosting in the UK and signing a Data Processing Agreement with us is the simple answer for most clients. We\'ve done DPAs for several research-active universities and a couple of NHS-adjacent organisations. The combination of UK data residency, encrypted backups in UK data centres, and the ability to permanently delete a survey including its responses (LimeSurvey supports this directly) covers most institutional requirements.

Where Lime Survey Fits

Best for

Academic researchers, market research firms, HR teams running employee surveys, public-sector consultations, and any organisation that needs SurveyMonkey-level capability with self-hosted data control. Particularly strong for UK organisations needing data residency for GDPR purposes, multi-language surveys (university student-experience surveys, multinational HR surveys), and complex logic with quotas. Good fit for surveys with hundreds to tens of thousands of respondents.

Watch for

The admin UI is functional rather than polished; it has a learning curve. Survey traffic is spiky by nature (people submit in the final hours); plan for the peak, not the average. Email invitation throughput on shared hosting is bounded by mail server limits; for large panels, send via a transactional provider. Some advanced features (in-app reporting dashboards, certain question types) live in paid plugins. Theme customisation requires reasonable HTML/CSS skills.

A Lime Survey case from our books

A UK Russell Group university research centre running a longitudinal panel study on workplace wellbeing approached us in 2023. They had around 12,000 active panellists, ran four major waves a year plus ad-hoc topical surveys, and were on a major US-hosted survey platform paying roughly £4,200/yr. Their concern wasn\'t cost; it was data residency. Their ethics board had become uncomfortable with US-hosted personal data after regulatory shifts.

We set them up on a UK managed cloud server (£39.99/mo, £480/yr) with LimeSurvey, MySQL 8, and Redis for response caching. Migration took two weeks: one week of clean install and theme customisation, one week of data import from the old platform via their CSV export. We signed a DPA covering UK-only data processing and retention.

Annual cost dropped from £4,200 to £480 (£3,720 saving). More importantly for them, the ethics board signed off on the new arrangement immediately. Twelve months in, they\'ve run six wave surveys with peak concurrent response counts around 1,800 and the cloud server has averaged 14% CPU.

What we would tell anyone in the same spot: scope the data residency conversation with your ethics or compliance team before you start. The hosting move is the easy bit.

Anonymised at the client's request. Industry, scale, and timeline preserved.

Hosting Survey Software apps

What we look for in survey software hosting

Survey platforms are mostly database-heavy at submission time and storage-heavy in the longer term. We tune MySQL for sustained writes during a survey window, raise PHP memory to 256MB to cope with logic-heavy questionnaires, and run nightly database backups as a separate retention from the file backup because the responses are usually the only digital copy of the data. For institutions running surveys to several thousand respondents, a managed cloud server gives predictable submission performance.

FAQ

Lime Survey Hosting FAQ

Common questions we hear from people running Lime Survey on our hosting.

LimeSurvey needs PHP 8.1 or higher (we run 8.3), MySQL 5.7+ or 8.x or MariaDB equivalent (PostgreSQL and MSSQL also supported), and a fairly standard set of PHP extensions including GD, mbstring, ldap (optional, for LDAP auth), and zip. All are enabled or available on every 365i hosting plan. Memory should be 256MB minimum, 512MB recommended for surveys with complex logic or many active responses. Disk space depends on attachment uploads; a typical survey footprint is well under 1GB.

Yes. LimeSurvey is in our one-click installer. Pick your domain or subdomain, set the admin login, and the installer handles the database, schema, file permissions, and initial config. The first thing you'll do after install is configure the global settings inside LimeSurvey's admin: site name, default language, time zone, and email sending. We can help with the email configuration if you're sending invitations through a transactional provider.

For most surveys, comfortably 5,000 to 10,000 concurrent respondents on standard shared hosting. The application is well-optimised and the response page is light. The trickier scenario is the close-of-survey rush, where everyone submits in the last few hours; we recommend sizing for the peak hour rather than the daily average. For very large surveys (50,000+ active panellists during recruitment) we'd move you to a managed cloud server for headroom and faster database performance.

Yes. For larger research panels, organisations with strict isolation requirements, or surveys running over long periods with millions of responses, our managed cloud servers from £9.99/mo provide root SSH, dedicated CPU and RAM, the option to add Redis for cache, and per-server backup snapshots. We also configure transactional email providers (SendGrid, Postmark, Mailgun) on cloud installs for high-volume invitation sending.

LimeSurvey-to-LimeSurvey migrations are straightforward and free: we copy the codebase, dump and restore the MySQL database, update the .env file, and verify everything runs. SurveyMonkey, Qualtrics, or Typeform migrations are partial: we can move active surveys via CSV export and rebuild them in LimeSurvey, but historical responses need to be exported and stored separately. Realistic timeline for a SaaS-to-LimeSurvey migration is one to three weeks depending on the number of active surveys.

All our hosting is in UK data centres by default. We sign a Data Processing Agreement (DPA) with research institutions, public-sector clients, and any organisation that needs one. Backups are encrypted and held in UK data centres only. LimeSurvey's built-in respondent data deletion supports right-to-be-forgotten requests, and we add server-level encryption at rest on managed cloud servers. We've done DPAs for several universities and NHS-adjacent organisations and can share the standard template on request.
