What is Gibbon?
Gibbon is a free, open-source school management platform built specifically for K-12 schools. It covers the day-to-day admin that primary and secondary schools deal with: student records, timetabling, attendance, gradebook, homework, library, finance, parent and staff messaging, and a parent portal. The codebase has been actively developed since 2010 and is used by schools in over 100 countries.
The application is written in PHP with a MySQL backend and is designed to run on standard LAMP hosting. There are no exotic dependencies, no separate microservices, and no vendor lock-in. Schools own their data and can host it where they choose, which matters in education sectors with strict data residency requirements.
Gibbon is module-based, so a school can adopt it gradually. A small school might start with student records and attendance only; a larger one might run the full stack including library, behaviour tracking, and finance. The free core covers most needs; a small number of paid modules exist for specialised requirements like exam timetabling.
365i’s editorial review of Gibbon
Gibbon is a niche application but it's a really well-built one. The fact that a small UK school can have a credible alternative to commercial school management systems costing tens of thousands a year, and run it on hosting that costs less than a tank of fuel, is the kind of thing the open-source community gets too little credit for.
I've supported a couple of independent UK primary schools running Gibbon on our hosting. The codebase is straightforward PHP, no Laravel or Symfony underneath, and the database is pure MySQL with no exotic stored procedures. That makes it easy to back up, easy to migrate, and easy to debug if anything goes wrong. For an in-house IT person at a school, or a friendly parent volunteer, it's about as approachable as a school MIS gets.
"Schools often don't realise their MIS contract is one of the biggest line items they have. Gibbon won't replace every commercial system overnight, but for primary schools and small independents, it's genuinely viable. The hosting cost is rounding error compared to the licence savings."
Mark McNeece, Founder, 365i Hosting
The thing I'd flag for anyone evaluating Gibbon is that you need someone on the school side who's comfortable with the admin interface. It is not a polished SaaS product with hand-holding setup wizards. The data model is sensible but you have to know what you're entering. A bursar, school secretary, or office manager who's competent with computers will be fine after a couple of training sessions; somebody who finds Excel intimidating will struggle.
The other reality check is that Gibbon doesn't (and probably never will) replace systems like Arbor or Bromcom for a state-sector secondary school. The DfE census reporting, exam board integrations, statutory data flows, and Local Authority connections are still better served by commercial UK MIS providers. Where Gibbon shines is small independent schools, primary schools without those statutory burdens, and international schools that don't need DfE compliance at all.
From a hosting perspective, schools love the predictability. Pricing is fixed, there are no per-pupil charges, no ramp on contract renewal, and no surprise modules locked behind enterprise tiers. We've moved a couple of schools off existing hosts where the bill kept creeping; the new fixed cost is something the school finance committee can plan around.
For a school of up to a few hundred pupils, our shared hosting plans handle Gibbon comfortably. The traffic profile is predictable: heavy usage during the school day, near-zero in the evenings and weekends. For larger schools, particularly those with active parent portals where hundreds of parents log in concurrently around report-card time, a managed cloud server gives you the headroom and the backup posture (off-site, encrypted, retained) that some independent inspectorates expect.
Backups are non-negotiable for school data. We run daily off-server backups retained for 30 days on every plan, and on cloud servers we add point-in-time database snapshots. For the schools we host, we also recommend an additional weekly export to the school's own storage (Google Workspace, OneDrive, or local NAS) as belt-and-braces.

Where Gibbon Fits
Best for
Independent primary schools, small UK independent secondary schools, international schools, and home-education groups that need a credible school management system without the cost of commercial UK MIS providers. Particularly suitable for schools with under 500 pupils, an in-house IT contact who's comfortable with web apps, and no DfE statutory reporting obligations. Also a strong fit for tutoring centres and supplementary schools running term-based teaching.
Watch for
Gibbon is not a polished SaaS product; the admin UI requires training for staff who haven't used a school MIS before. It does not replace Arbor, Bromcom, or SIMS for English state schools that need DfE census submissions, statutory data returns, or direct exam board feeds. Customisation beyond the built-in admin requires PHP knowledge. The free modules cover most needs but a few specialised features (some report writing, certain exam workflows) are paid add-ons.

A Gibbon case from our books
A small UK independent prep school in the Midlands with around 220 pupils approached us in 2023. They were on a commercial school MIS at roughly £6,800/yr including support and per-pupil charges, and the contract renewal had quoted a 14% increase. Their bursar wanted to evaluate alternatives.
We migrated them to Gibbon running on our standard shared hosting plan at £5.99/mo. The migration was done over the summer holidays: we exported their pupil records, parent contacts, and academic history from the old system, transformed the data into Gibbon's import format, and verified everything against the previous year's reports. Three days of staff training in early September got the office team and the head\'s PA comfortable with the system. We attended a half-day on-site session to support the first week.
Year-one direct cost was £72 hosting plus around £900 we charged for the migration work. Net saving against the commercial system was over £5,800 in the first year and recurring savings of around £6,500/yr after that. They\'ve added the parent portal module and behaviour tracking module since.
What we would tell anyone in the same spot: do the migration in a school holiday, do the staff training before term starts, and budget for hand-holding in week one.
Anonymised at the client's request. Industry, scale, and timeline preserved.
What we look for in school management platform hosting
School management software lives in a regulated context. Pupil records, parent contact data, and SEN information are sensitive under UK GDPR, and we treat them that way. We enforce SSL, recommend two-factor authentication for staff accounts, set role-based permissions tightly during install, and run encrypted backups daily. We also keep the data on UK servers by default for parents who ask where their child's school records are stored, and we will tell you honestly which application suits the size of the school.
Gibbon Hosting FAQ
Common questions we hear from people running Gibbon on our hosting.
Gibbon needs PHP 8.0 or higher (we run 8.3), MySQL 5.7+ or 8.x, and a handful of standard PHP extensions including GD for image processing, mbstring, and curl. All are enabled on every 365i hosting plan. The application is light on memory; 256MB PHP memory limit is plenty for a school of a few hundred pupils. Disk usage scales mainly with file uploads (homework attachments, library scans, photos), and starts well under 1GB for most schools.
Yes. Gibbon is in our one-click installer. Pick your domain or subdomain, set the admin login, and the installer handles the database, file permissions, and initial config. The first thing you'll do after install is run the setup wizard inside Gibbon itself, which configures your school year, terms, year groups, and basic structure. We can help with this if you're migrating data in from a previous system.
Yes. For larger schools or schools with strict data protection requirements, our managed cloud servers from £9.99/mo provide root SSH, point-in-time database snapshots, and the option to run additional services like Redis for cache. We also help schools configure off-site backups to their own storage (Google Workspace or OneDrive for Education) as a belt-and-braces measure beyond our own platform backups.
In most cases, yes. Gibbon has a flexible CSV import system that maps to most data structures. We've migrated schools from SIMS, ScholarPack, Engage, and various legacy systems by exporting to CSV and shaping the data to Gibbon's import format. Realistic timeline is two to four weeks of preparation, ideally landing the live cutover in a school holiday. We don't charge for the hosting setup or DNS work; data preparation is quoted based on complexity.
Schools are sensitive data environments and we treat them as such. The hosting platform provides free SSL with auto-renewal, ModSecurity WAF, daily off-server backups in UK data centres, and PHP 8.3 with current patches. We sign a Data Processing Agreement with every school client and our standard terms commit to UK or EU data residency. On the application side we recommend two-factor authentication for all staff accounts (Gibbon supports it), strong password policies, and prompt application updates. We can also restrict admin access by IP if the school works from a known network.
