About FreeScout

What is FreeScout?

FreeScout is a self-hosted helpdesk and shared inbox application built on Laravel. It positions itself as a free, open-source alternative to Help Scout and similar SaaS helpdesks, and it gets surprisingly close on features. Multiple mailboxes, conversation threading, internal notes, saved replies, customer profiles, satisfaction ratings, workflow automations, and a module ecosystem for everything from time tracking to Slack integration.

The model is shared inbox, not ticket queue. Conversations look like email threads rather than ticket numbers, which is friendlier for customers and feels less corporate. Agents can collaborate on a reply with internal notes that customers never see, and replies go out as standard email so the customer just gets a reply from your support address.

It runs on standard PHP hosting with no exotic dependencies. The codebase is mature, the community is active, and updates land regularly. There is a paid module marketplace for advanced features, but the free core is genuinely usable for a small support team without spending anything beyond hosting.

FreeScout is the helpdesk I recommend most often when somebody can't justify the per-agent fees of Help Scout, Zendesk, or Intercom but still wants a proper shared inbox. The maths gets brutal once you have four or five agents on a SaaS helpdesk; FreeScout flips that into a fixed hosting cost with unlimited agents.

I've put FreeScout in production for a couple of clients and run it for our own incoming queries on smaller projects. The Laravel base means it behaves like any other Laravel app on our platform. Standard composer install, database migrations, mail configuration, queue worker for outbound email, and you're up. The admin UI is the bit that surprises people. It's clean, fast, and the agents who've used Help Scout before find it familiar within an hour.

That last point is worth dwelling on. The single biggest issue I see with self-hosted helpdesks is outbound email going to spam. FreeScout's outbound replies have to come from your support address (support@yourcompany.com), which means SPF, DKIM, and DMARC need to be set up properly on the sending domain. If you send through a transactional provider like Postmark, SendGrid, or Mailgun, they'll guide you through the records. If you try to send straight from the hosting server's PHP mailer, expect deliverability headaches at any kind of volume.

The other thing to think about up front is mailbox fetching. FreeScout pulls incoming email via IMAP or via direct webhook from supported providers. IMAP works fine but introduces a delay (typically one to two minutes) between an email landing in the inbox and appearing in FreeScout. Webhook mode from Postmark, SES, or similar is near-instant and we generally recommend it for any team where speed of first-response matters.

For storage, the database stays small even with high conversation counts. The space-eater is attachments. By default FreeScout stores them on local disk, which is fine until you have years of customer screenshots and PDFs. We've helped clients move attachment storage to S3-compatible object storage on bigger installs, and it's a flag in the .env file plus a one-off migration script.

Watch for

Email deliverability is the biggest gotcha. Outbound replies need proper SPF, DKIM, and DMARC records, and ideally a transactional sending provider (Postmark, SES, Mailgun). Local disk attachment storage gets unwieldy past a few GB; plan for object storage if you're a high-attachment team. Some advanced features (custom fields, advanced workflows, time tracking) are paid modules. Mobile app exists but is less polished than the web UI.

A FreeScout case from our books

A South West UK e-commerce retailer doing around £4M annual revenue across a single Shopify store and a separate B2B trade catalogue had four customer service agents on Zendesk paying roughly £180/mo per agent for the Suite Growth tier. FreeScout requires PHP 8.1 or higher (we run 8.3), MySQL 5.7+ or 8.x or MariaDB equivalent, and the standard Laravel PHP extensions plus IMAP for inbound mail fetching. All of these are enabled on every 365i hosting plan. You also need cron access for scheduled tasks (database cleanup, automated workflows, mailbox polling). Memory needs are modest; 256MB PHP memory limit handles most installs comfortably. For larger teams, we'd recommend Redis for cache and sessions, which is included on our cloud server plans.
